Smart EditLast time, I mentioned I used a program/app called Smart Edit to fine tune my manuscripts. I said I’d go into more detail if there was interest, and frankly, I’m in editing mode on the new book, and don’t have the brain cells to spare to come up with a different topic.

**Note. I am simply sharing my opinions and how I use the program. I get zilch from the company for my posts.

Those of us who don’t have an unlimited budget rely on the “tricks” and for me, Smart Edit helps tighten the manuscript, and finds things my eyes have missed.

I have the ‘inside Word’ add on, so I can work right in the manuscript, but there’s also a copy-and-paste version. One thing I like about the ‘inside Word’ version is everything is previewed in context, so if it’s fine as is, you can skip to the next. If you want to make changes, you click on that result and it’ll take you right to that passage in the manuscript.

The program (sorry, but to me, an ‘app’ is something like Angry Birds, so that’s the term I’m going to use) runs checks on a variety of potential pitfalls. The obvious is “repeated words” which, despite my having my own checklist of crutch words, always finds new ones. There’s also “repeated phrases.”

Beyond that are searches for misused words, redundancies, risqué words, clichés, adverbs, proper nouns (good for finding those places where you’ve written “Helper” instead of “Hepler” for your protagonist), and looking back at Elaine’s post last week, speaker tags.

One thing to understand. SmartEdit doesn’t edit. It points out things you, as the author, are in control of, and every decision is yours to make. It’s not perfect, but I’ve found it’s a good starting point.

Smart Edit Another search that can be helpful is dialogue tags, although this is one where the program isn’t as accurate. It’s flagged words as tags that aren’t written as such. Again, the user is responsible for checking. (This was taken from a 3500 word short story run, which is why the overall counts are low. It does go back to Elaine’s post about using said, which is my go-to dialogue tag.)

Smart EditThe program doesn’t correct your grammar. I know people use other programs for that, although I don’t usually have trouble with grammar, so I’m more interested in streamlining and clarity. I beta tested a grammar program once, and it didn’t get anything right.

I’m paying an editor, you say. Why can’t I let her find and fix these? I could, but most editors charge by the hour. I know of one who charges by the word. If I can spend those hours taking care of a lot of these excesses, it saves time—and what can be significant money.There are other editing programs out there, but I’ve found SmartEdit works best for me. While I have a list of my words to destroy, somehow, new once crop up in each manuscript, and having this program find the sneaky ones I wouldn’t have thought to look for helps.

16 Concrete Tips for Effectively Editing Your Own Fiction

Are you relatively new at writing fiction? Perhaps you’ve shown your first (or latest) draft to beta readers and been told your premise, plot, and characterization are now pretty solid, but that your pacing is a bit slow and your writing style could use some amping up and polishing. Perhaps it’s overly wordy or just a bit pedestrian.

If so, take a break, then grab a coffee or some chocolate and start going through the whole story again, page by page, to search for any wordy, clunky, hackneyed, or lackluster phrasing and replace it with succinct, fresh, vibrant wording that will entice and delight your readers. The step-by-step list below will help you do a line-by-line self-edit to take your story up a notch or two.

If you want your popular fiction to captivate readers, sell well, and garner great reviews, ferret out and fix these 16 style weaknesses:

1. Meandering, wordy, or repetitive writing. Be on the constant lookout for anywhere you can cut down on wordiness. Don’t bore your readers by having characters going on and on. Avoid lengthy, neutral descriptions—today’s readers don’t have patience with them. And don’t say the same thing several times just to make sure readers got it. Look for areas you’re repeating yourself. Also, watch for “little word pileup.” Can you be more succinct and direct? For example, instead of “It would be a good thing for us to…,” just say “We should….” Here’s an example from my editing:

Before: The man was small and pudgy and he had a full dark beard that he nervously stroked with his hand.

After: The small, pudgy man nervously stroked his full dark beard.

2. Wishy-washy qualifiers that weaken your message. Do a search for words like quite, sort of, almost, kind of, a bit, pretty, somewhat, rather, usually, basically, generally, probably, mostly, etc., and delete almost all of them. Forget “He was quite brave,” or “She was pretty intelligent” or “It was almost scary.” These qualifiers dilute your message, reduce the impact, and make the imagery weaker. Even really and very are best avoided—it’s like you’re saying the word after it needs reinforcing. “She was beautiful” packs more punch than “She was very beautiful.”

3. Colorless, pedestrian verbs. Do a search for overused verbs like walked, ran, went, saw, talked, ate, did, got, put, took. Get out your thesaurus or use the MS Word one to find more expressive, powerful verbs instead, like crept, loped, stumbled, stomped, glimpsed, noticed, observed, witnessed, spied, grunted, whimpered, devoured, consumed, gobbled, wolfed, munched, or bolted. Do searches for walked and ran and replace many or most of them. See Ch. 21 of Fire up Your Fiction for plenty of more expressive alternatives.

4. Overuse of –ing verbs. Best to use -ed verbs instead—they’re stronger and more immediate. “He was racing” is weaker than “He raced.” “They searched the house” is more immediate than “They were searching the house.” Rewrite -ing verbs whenever you can, and you’ll strengthen your writing and increase its power.

5. Too many -ly adverbs. Instead of propping up a boring, anemic verb with an adverb, look for strong, descriptive, powerful verbs. Instead of “He walked slowly” go for “He plodded” or “He trudged” or “He dawdled.” Instead of “She ate hungrily” say “She devoured the bag of chips,” or “She wolfed down the pizza.” Instead of “They talked quickly,” say “They babbled.” Instead of “He walked deliberately,” say “He strode.”

6. Pile-up of adjectives. Use adjectives sparingly and consciously. Instead of stringing a bunch of descriptors in front of an ordinary, overused noun, find a more precise, expressive noun to show rather than tell. Instead of “a very tall, hefty man” say “a giant”; instead of “a beautiful, huge, historic house,” say “a stately mansion.”

Overuse of adjectives can also turn your writing into “purple prose”—melodramatic, overly “flowery” writing. For example, here’s an over-the-top description from a novel I edited many years ago, about a sports car in motion: “Every turn of the wheel, the veiled beauty of fortune shadowed him: serpentine and capricious in nature, bestowing pleasure or pain at whim, and enslaving mankind to her fancy.”

7. Telling instead of showing. Show us, don’t tell us how your characters are feeling. Avoid statements like, “He found that funny,” or “The little girl felt sad.” Show these emotions by their actions, words, tone, facial expressions, and body language: “Eyes downcast, shoulders slumped, head down, she pushed her food around the plate.” Do searches for was, looked, seemed, and felt and reassess and revise.

8. Distracting dialogue tags. Stick with the basic he said and she said­ (or asked) wherever possible, rather than “he emphasized” or “she reiterated” or “Mark uttered,” etc. These phrases stand out, so they take the reader out of the story, whereas “said” is almost invisible. However, I like dialogue tags that describe how something is said, as in he shouted, she murmured, he grumbled, she whispered.

Also, you can often eliminate the dialogue tag altogether and just use an action beat instead:  He picked up the phone. “That’s it. I’m calling the cops.”

9. Showing a reaction before the action that caused it. Make sure your sentence structure mimics the order of the actual actions. Describe the action first, then the reaction; the stimulus, then the response. State cause before effect. Instead of “He jumped when he heard a piercing scream,” write: “A piercing scream made him jump.”

10. Passive instead of active voice. Don’t say, “The ball was thrown by the boy.” Say “The boy threw the ball.” Start with the doer, then describe what he did, rather than the other way around. Use the more direct, personalized, active voice wherever possible. Instead of “The house was taped off by the police,” write “The police taped off the house.” Instead of: “Fire on them as soon as they’re spotted,” say “Fire on them as soon as you spot them.”

11. Negative constructions. Avoid double negatives as they can be confusing to the reader. Instead of “I didn’t disagree with him,” say “I agreed with him.”

12. Frequent repetition of the same word or forms of the same word. If you’ve already used a certain noun or verb in a paragraph or section, go to your thesaurus to find a different way to express that idea when you mention it again. “The assailant closed in on me, eyes blazing. Next thing I saw was his fist closing in, and then making contact.” or “Two big stacks of files were stacked on her desk.”

13. Pet words or imagery you use over and over. Is your character smiling or shrugging or squinting or swallowing or nodding or rolling her eyes or raising her eyebrows a lot? Vary the wording and imagery.

14. Formal sentences and pretentious language. To be avoided in fiction, unless it’s the dialogue of an arrogant or pretentious character. Rather than impressing your readers, ornate, fancy words can just end up distracting and alienating them. Simple words are more powerful and direct, as they evoke an instant image or feeling. Pompous or unfamiliar words feel like the author is trying too hard to impress us.

“Are you excavating a subterranean channel?” asked the scholar. “No sir,” replied the farmer. “I am only digging a ditch.” – Anon

15. Characters starting to do things. Don’t have your characters begin to do something or start to do something. Just show them performing the action. Instead of “She was beginning to feel nauseous,” say “She felt nauseous.” Instead of “His head started to pound” say “His head pounded.”

16. Monotonous sentence structure:

– Don’t start sentence after sentence with “He” or “She” or their name. Rearrange the ideas for a more sophisticated feel:

Before: His headlights found the driveway leading to the rear of the duplex. He parked in the darkness. He closed the car door carefully after him. He drew his gun. He was relieved to see no lights in the windows. He walked quietly up the path to the back door.

After: His headlights found the driveway leading to the rear of the duplex. He drove around, then parked in the darkness. Closing the car door carefully after him, he drew his gun and crept forward. As he walked quietly up the path to the back deck, he was relieved to see no lights in the windows.

– Don’t start sentence after sentence with a gerund:

Creeping to the office door, Eileen stood listening. Hearing nothing, she opened it and peeked out. Seeing no one in the hallway, she headed for the door near the entrance to the showroom. Entering the room, she turned on the light and closed the door behind her. Expecting to see a room filled with stolen artwork, Eileen was disappointed.

– Change up “and” sentences, which can seem clunky and amateurish.

Before: He was tall and thin with a long narrow face and looked exhausted.

After: Tall and thin with a long narrow face, he looked exhausted.

– Combine sentences and reword for better flow:

Before:  Ben Cross was a top-notch investigator. He was at a table drinking coffee and eating a donut when Shelley walked in.

After:  Ben Cross, a top-notch investigator, was at a table drinking coffee and eating a donut when Shelly walked in.

Or:  Shelly walked in the café and looked around. Ben Cross, a top-notch investigator, was at a table drinking coffee and eating a donut.

Sculpting That Manuscript

When we first moved to Colorado, we rented a tiny studio apartment while looking for a permanent home. One evening, our landlords invited us up for a glass of wine and some conversation. She is a sculptor who works primarily in stone. She mentioned it was interesting we were both artists.

Frankly, I’d never considered myself an artist, but we discussed our creative processes. There’s an old saying that in order to carve a block of stone into an elephant, you simply chip away everything that doesn’t look like an elephant. In writing, you keep adding until you get the elephant.

If writing were like sculpting, it would mean being able to change what comes next, but not what came before. Scary. Really scary. When the sculptor asked how I created a book, what my preparation process was, did I outline the plot, or develop the characters, I answered that I knew very little when I first started writing.

She said she worked the same way. She might have a very simple sketch—no more than a line drawing, when she started, and a vague idea of the finished product—but the actual sculpture was dictated by the stone. She starts working and lets the stone show her the way.

That sounds very much like my own writing style. I joked about how my characters were always surprising me, and that the discovery was as much fun as the final product. On that, we were in total agreement.

But imagine if you started writing your book and couldn’t go back to fix things. Once you chip away that piece of marble, it’s gone and you can’t reattach it to the sculpture. I don’t think there is such a thing as a ‘first draft’ for her. Some artists might make models first, using a different, “less valuable” kind of medium, but she likes to get right to it.

I remember going to a RWA chapter meeting, and as we shared where we were with our writing since the last meeting, one woman said, “I’m on Chapter 30 and have only 5 chapters left to go.” I was flabbergasted. How did she know what was going to go into each chapter, and that much in advance? How did she know her book was going to be 35 chapters long? A recent book ended up going on for about 4 chapters more after I thought I was writing the final chapter. And my editor asked me to expand even more. Glad I wasn’t a sculptor!

But when you do finally reach the end, if you’re like me, your book is full of “extra stuff”. It’s time to play sculptor and chisel away the words, paragraphs, scenes that aren’t helping your book look like the elephant it’s supposed to be. My first attempt at writing a novel came in at 143,000 words. The agents and editors I spoke with said 100,000 was the absolute top limit they’d even look at for a debut author.

Time to cut. You start with the jack hammer, removing any scenes that aren’t moving the story forward (even though they’re probably your favorites). “Does it advance the plot?” becomes your mantra. This is where you’re probably letting everyone know how much research you did. What constellations are visible in the night sky at 10 PM in Salem, Oregon? What’s the story behind Orion? What are the landmarks visible from the passenger seat while driving north on I-25 between Denver and Cripple Creek? What kind of cattle are grazing in the pastureland? How many coal trains chug by each day, carrying how much coal? Ask yourself two questions. 1: Does the reader need to know this. 2: Does the reader need to know this now? That 143,000 word book, Finding Sarah, was published at about 85K.

Another question to ask is “Does it come back?” In my book, Deadly Secrets, I had a scene where my heroine comes into her diner and tells the cop hero that she thinks someone’s in her upstairs apartment. The cop tells her to get down behind the counter. There’s mention of a pistol kept near the register. However, we never actually see the gun, other than a few thoughts about who it belongs to, and that almost everyone in the small Colorado town probably has one. Since the gun was never needed and never showed up again … SNIP. “Get behind the counter” is all that’s needed. Readers, especially mystery readers, don’t like a parade of red flags that have no place in the story.

Deadly Secrets

After you’ve tossed those big chunks of stone, you can get out the chisel and look at your narrative. Have you told what you’ve already shown? Trust your readers—they’ll get it. Are you repeating yourself even when you’re showing?

Once you’ve got the story essentials, you can get out the little grinders and brushes to get rid of those sneaky crutch words—the ones that creep into your manuscript when you close your file. (A handy writer’s tool for this is Smart Edit, which will find overused words you never saw coming.) Check for ‘filler’ words. Just, really, well, very, some (and all its variations). When we speak, we use ‘filler words’ to give our brain time to think. Most of the time, they’re not needed on the page and merely slow the read.

Once you’ve got your elephant cleaned and polished, it’s time to get it out there on exhibit, whether to an agent, editor, or beta reader.

What’s your writing style? I’m an ‘edit as I go’ writer, but even then, I have to go back and get rid of everything that doesn’t look like an elephant.

Tricks & Tips for Catching All Those Little Typos in Your Own Work

Whether you’re writing a blog post, a magazine article, a short story, an assignment, or a book, it’s important to go over your work several times to make sure it’s polished and flows well. No matter what your you’re writing, you’re your credibility will be eroded if readers find mispelled misspelled words, misused words, missing or extra words, or other typos. And  a recent study published in Huffington Post points to a close correlation between accuracy of writing and income from writing — a no-brainer.

I’ve presented workshops and written several articles (here’s a good one) on tips for approaching the whole editing and revising process, starting with macro issues like logistics, characterisation, plot, and pacing, and working your way through awkward phrasing and wordiness down to micro errors like spelling and punctuation. In fact, I’ll be presenting a workshop called “Revise for Success,” a step-by-step approach to revising your novel, at Steven James’ writers conference, Troubleshooting Your Novel, in Nashville on January 17.

For today, my topic is on that final step, after you’ve resolved all big-picture content problems and even most style issues, such as slow pacing, awkward sentence structure, or overly wordy phrasing. My tips today are on the final “proofreading” step, how to ferret out those tiny little gremlins that escape your notice when you’re concentrating on content and even style issues.

When we read our own work, we’re so familiar with what we want to say that we fill in words that aren’t actually on the page, and skip over slightly misspelled words that still pass spellcheck, or little words that shouldn’t be there. Of course, getting detail-oriented, eagle-eyed nerdy friends who are great at spelling to read it carefully is a great option, if you know of some. If not, or in addition to that, I’m providing some tips for fooling your brain into thinking it hasn’t read this story before.

As someone trained to see errors, I find them everywhere – on signs and menus, in blog posts and articles, on website copy, and in published books. As an example, here’s the description of a workshop that appeared on a conference website a while back, which I’ve shortened and disguised a bit. Can you spot the 9-10 errors in this description? (Just for fun, I’ve added a few more errors.)

Copy with little typos: One of the most important ways to connect with your audience an attract new readers is through author interviews and public readings. How can you master the the confidence and skills to successfully preform in front of an audience? There are a few time tested trick to perform you work well for an audience. This workshop will discuss techniques for speaking in pubic and will also cover using social media sites lie YouTube to to host audio versions of your work.

 Errors fixed in blue: One of the most important ways to connect with your audience and attract new readers is through author interviews and public readings. How can you master the confidence and skills to successfully perform in front of an audience? There are a few timetested tricks for performing your work well for an audience. This workshop will discuss techniques for speaking in public and will also cover using social media sites like YouTube to host audio versions of your work.

And I just happen to be judging short stories in the thriller genre for Writer’s Digest’s Popular Fiction 2014 contest, where I was given 147 short stories and asked to choose only 10 of those to go on to the next level. Since I have to reject 137 of these stories, I have to be pretty ruthless, and any that aren’t polished won’t make the cut. Typos or spelling errors on the first page are an automatic no. As are long boring descriptions, a confusing opening, cardboard characters, lack of tension or intrigue, tedious repetitions, and switches in verb tense.

Here are some tips for fooling your brain into thinking your story is something new, something you need to read critically and revise ruthlessly before it reaches the demanding eyes of a literary agent, acquiring editor, contest judge, or picky reviewer.

1. Set it aside for a while. First, if you can, put your article, blog post, or short story away for a day or two before revising and editing it, and your book manuscript away for a few weeks or even a month, if possible, so you can come back to it with fresh eyes and a bit of emotional distance. If you’re on a tight deadline, start at #2.

2. Start with Word’s spell-check and check those squiggly red and blue lines under words. Don’t rely on Spellcheck, though, as it misses a lot (like the well-known gaffe above, “pubic” for “public”), and often suggests changes that make something correct incorrect. For example, in the Agent Dallas thriller manuscript I’m editing for L.J. Sellers, The Trap, MS Word suggests that “I like your thinking” (as in “I like how you think”) should be “I like you’re thinking.” And it often suggests the wrong its/it’s, and misses all kinds of typos in manuscripts I edit, like “crowed” for “crowded,” “father” for “farther,” “county” for “country,” and “manger” or “manager.” So definitely don’t trust spell-check blindly.

3. Use my two quick, clickable e-resources to verify spelling and word choices: QUICK CLICKS: SPELLING LIST – Commonly Misspelled Words at Your Fingertips, and QUICK CLICKS: WORD USAGE – Precise Word Choices at Your Fingertips. Click on the titles to check them out. These handy resources will save you tons of time looking up words in the dictionary, and every word is verified as correct.

4. Do a search (“Find”) for words you know how to spell but tend to spell wrong when you’re in a hurry, especially ones spell-check won’t flag, like “you” for “your,” or “your” for “you’re,” “there” for “they’re” or “their,” etc.

Then choose some of the following strategies, which are also excellent for picking up on clunky sentences and awkward phrasing.

~ Increase the size of the type to 150% or 160%, by clicking on the + sign at the bottom right of the document.

~ Change the font to one that looks quite different to fool your eyes and brain into thinking this is new material you’ve never read (or thought of) before, so you need to pay close attention.

Try Comic Sansor Franklin Gothic Book or Book Antiqua.

~ Format it to book size, like 6″ x 9″, change the font to something nice, like Georgiaor Cambria, change it to single-spaced,  format it to two-column landscape, so it looks like an open book, then print it up and read it in a different location, somewhere you don’t write, preferably out of your home.

~ Send it to your Kindle or other e-reader and read it in a different location, preferably not at home.

~ In a print version, place a ruler or piece of paper under the line you’re reading to keep from skipping ahead. Or keep your finger under each word as you read.

~ Read it out loud. Wherever you stumble, your readers will, too. This will also help with punctuation. If you pause briefly, put in a comma. If you pause for longer, put in a period. (Best to avoid or minimize semicolons in fiction, and keep them right out of casual dialogue. And reserve exclamation marks for when someone is screaming or yelling, shocked, or in pain.)

~ Read the whole thing backwards or upside down (!). I’ve heard these suggestions, but haven’t actually done this myself, and probably won’t.

~ Get your computer to read it aloud to you, while you follow along. Newer versions of Word offer this, and Macs do, too. In Word 2010, for example, here’s how you enable text-to-speech: First, add “Speak” to the Quick Access Toolbar. Along the very top above “File,” the line that starts with W for word, at the far right is a down arrow. Click that. It will say “Customize Quick Access Toolbar.” Click “More Commands.” In the “Choose Commands” from the list, select “All Commands.” Scroll down to the “Speak” command, select it, and then click “Add.” Click “OK.” When you want to use the text-to-speech command, you’ll use the icon on the Quick Access Toolbar, which looks like a speech bubble on a cartoon. To hear some text read aloud, highlight the paragraph or chapter you want to hear aloud, then click the Speak icon on the toolbar.

Follow along the text while listening to the text being read aloud. Stop it whenever you need to add or delete a word, or fix awkward phrasing.

~ If you’re self-publishing, get a sample book printed by CreateSpace (or IngramSpark) and read it somewhere else in your home, in a room where you don’t work, or better yet, away from your home, like in a coffee shop, a park, or the beach. I read one of mine in book form, pen in hand, on vacation in Puerto Vallarta, while stretched out in a chaise longue under one of those grass huts, and I caught all kinds of repetitions, sentences that didn’t flow as well as they could, were too wordy, or generally needed polishing, etc., as well as the odd typo.
